Importing Members

Introduction

You now have the ability to import membership levels for an account and the account participant. This is especially ideal if you need to import membership levels from an external system.

Getting Started

To get started, navigate to Settings > Management > Import Manager 
Then you'll want to select the Members tile.


Download Template

On this next screen you'll want to first download a template that you will use to upload your memberships with.
Here you can select which fields that you want to use. Just remember that all fields listed in red are required for the import to work properly. 
Also note that the MembershipLevel must match exactly to a membership level defined in your database. If the values do not match exactly between what's typed in the template and what's in the database, the import will fail. The import will also fail if you try to import an account with a membership level that doesn't even exist in your database.


 

Updating/Filling out the template

The template can be used to create new accounts w/memberships as well as update/add membership levels to existing accounts. This template will also update any account fields that are filled in.
 
The import will add the level indicated to the participant that represents the account holder, and the account itself. Other participants under the account are not updated.
 
The import can be used to update/change existing levels and can update the expiration date or change the inactive status of a membership. If inactive is not included in the import, it assumes that no change is needed. If adding a new level to an account it is assumed that inactive is false and therefore the level is set to active.

Adding multiple memberships to the same account

 
You can add multiple memberships to an account just by entering the same account on a separate row. Make sure each row has the same IDAccount number.

Max length to hold a membership

The max length to hold a membership level is not checked on the import / update process; admins can activate a level or extend an expiration past the max length date via import

Upload Template File and Process Import

Once you have completed filling out your template, the next step is to open the template to start the import process. To do this simply click on the Choose File button and select your template file. From there you want to click the Preview Import button.


 
Here you will be shown the number of records that will be imported/updated or any errors that may have occurred. To finish and finalize the import click the process button.
