Configio Product Import Guide | Create & Update Products Using Templates

Importing Products

Introduction

Configio enables you to create and update products by importing a file.

Creating a Template

Login to the Administrative side of your database, and navigate to Settings --> Management --> Import Manager. Click on Products.

 

For the import type you can either create new products from a template or you can update existing products that already exist in your database. 


 

Create From Template Section



This process will clone an existing product in your database, you must first select the product that you want to clone.
 

After you have selected the product to be cloned the next step is to choose the fields to be included in the template.

The Main category lists all the data sets you can import.

 

Update Existing Products section

 

This can be used to update several products using one import file. This can be useful for example if you need to update the price on a series of camps that you are hosting, instead of editing each camp one by one you can update them all at one time. 



The red field is a key identifier. This is the field that the system uses to determine if the record exists and needs to be updated, or if it is new and needs to be created. Some data types have a single key identifier, and others have multiple key identifiers. If you are going to import a type of data, then at least one key identifier field needs to be populated.

Each field has a checkbox. You can uncheck the box to create custom Templates. If a box is unchecked, then the Template will not include that field. For convenience, you can toggle all of the checkboxes in a column. Alternately you can just keep a field checked, and as long as it is not a key identifier, then you can leave it blank in the Template.

Click the DOWNLOAD TEMPLATE button when you are ready. 

Using the Template

We highly recommend using a spreadsheet program like Microsoft Excel to edit the template. The header row contains the names of the fields. Do not edit this row.

Each row is for a single Product. Do not input data for one Product on multiple rows. Input data that you want to import into the system, into the cells of the spreadsheet.  

Data Integrity

Some fields require data to be input so it matches existing data in your database. An example of this is the Region field. The data that you input into the template must match the data that is in Settings --> Setup --> Regions. For example, inputting "Northwest" for the region would work if that is a region that was created prior to the import, however inputting "NW" would generate an error.

Overall, the System has many guardrails for when data is input via the User Interface, however it has less when data is imported. Please be mindful that your data is correct prior to import.

Important Note: The Product Import is final. Ensure the data you import is 100% accurate, as products can not be deleted from your database.

Previewing the Import

After you have downloaded your template, input the data, and saved the file, you are ready to begin importing the data. Click the Browse button and select your completed file. Click the PREVIEW IMPORT button. The system will then validate the data.

Viewing the Data Validation Results - If Errors Occur

If any errors occur, then each one will be listed on an error screen. In the below example, the System found that there was no data in the Title fields.


If you see an error, please review your file. Save the file after fixing the error that was reported and upload the file again. If errors persist, please contact us at support@configio.com and we can assist.

You will see a list of products that will be imported, there is a count for the number of products that will be created. There is also a count for the number of products that potentially will be updated. If it looks correct, click the "Import" button.


Viewing the Import Results

A list of all the Products that were imported will be listed, there will be a count for the total number of records that were imported, a count for the number of products that were updated, as well as a count for the number of products that were created. The title for each product that was imported is a hyperlink which can be used to easily navigate to your new or updated product.
