Mass Staff Assignment Guide | Assign Staff to Event Products

Mass Staff Assignment

Introduction

You can assign staff members to multiple products all at once. This is done by filtering through a list of products in an advanced product search. Then more specifically selecting which product(s) you want to assign staff to. This prompts for a staff search where you can select staff member(s) to assign.

Note: Mass Staff Assignment only works on Event products. If a product that is not an Event is selected during the process, it will have no impact on that product.

Getting Started

Login to your Administrative Console, click on Products and click on the Advanced Search button.

Select the product criteria you want to filter in the advanced search. In the example provided we're searching for event products with 0 staff already assigned.

Assigning Staff

Using product advanced search, you can select one or many products and click “Assign Staff”.

Note: You can Select the "Check All" or choose each product individually by selecting the check boxes on the left.

This prompts for a staff search where you can select a staff member to assign. There is also an 'Include Variation Product' check box below the Product Summary box that, when checked, assigns the selected staff to all the variations and the master.

When they select a staff member they will be able to set the wage for the assignment, be prompted to override incomplete checklist items (if any), and/or be shown any Staff Form Questions that have been filled out.

Staff members selected will be assigned to all calendar days after today for all products selected. The assigned staff is in the bottom section of the Assign Staff modal with a button to allow removal. Note: There is a remove button for staff on the modal, but it only appears immediately after adding a staff member – this is an “oops I picked the wrong person” button, closing and reopening will not show staff assigned to all of the products you selected. Also, removing staff from this modal will only be applied to events after right now not all the events ever, so any staff assigned previously will still be present on product calendars.

You can add multiple staff if desired.

Note: Remove button will not available after the modal is closed and re-opened. You can also adjust the the Primary Staff by checking the Primary box. This will uncheck any other previously selected Primary boxes and make the selected staff the Primary on all the selected products.

When a staff member is assigned, they will be removed from the search list and they will not show up again during subsequent searches while the modal stays open. If the modal is closed and reopened the staff member will show up again in the search list. However, while the modal is still open, if the assigned staff is removed, they will once again show up in the search results.

Adjustments to the Staff Schedule

Adjustment are done on the individual product – you can change the assigned staff for a given day from the product screen, but cannot remove staff using the group assignment method.
