How to Enroll Learners in LMS Courses, Tracks & Paths | Admin & Self-Enrollment

Enrolling Learners

Introduction

There are multiple ways to enroll Learners into Courses, Tracks, and Paths. Learners can self-enroll via purchasing Products via your Shopping Cart. This allows for you to charge for enrollment. You can also directly enroll them via the Admin. This will not charge for enrollment, as it bypasses the Shopping Cart. If you want to handle the enrollment yourself and to charge for enrollment, then you can Impersonate them and purchase a Product for them via the Shopping Cart.

You can also import Learners. This will create an Account for them while simultaneously enrolling. You can import multiple Learners simultaneously, which is especially useful for when transitioning from another system to Configio.

Self-Enrollment via your Shopping Cart

You can Assign Courses, Tracks, and Paths to Products, and Learners can enroll by purchasing the Products via your Shopping Cart. If you want to charge for enrollment, you can add a price to those Products, and Learners can pay that price at Checkout. If you want enrollment to be free, then do not add a price to the Product.

Assignments of Courses, Tracks, and Paths to Products works like any other Assignment. Create the Product as normal, go to the Assignments tab, select the LMS tab, drag an LMS Item from the Unassigned to the Assigned column, and be sure that it is set to "Active".


After the Learner completes the purchase, they will be presented with a link to access the Course, Track, or Path.


Note: If you want Learners to access multiple Tracks, Paths, and/or Courses via the purchase of a single Purchase, then you can assign multiple Tracks, Paths, and/or Courses to that Product.

Impersonation-Enrollment via your Shopping Cart

You can use the Impersonation tool to enroll Learners via the Shopping Cart. This works like self-enrollment -- you are just making the purchase on behalf the Learner. Also, during Checkout, there is a Admin Discount screen that allows you to add a Discount or Fee to the Order.


Direct-Enrollment via the Admin Accounts Screen

You can directly enroll Learners into Courses, Tracks, and Paths via the Admin Accounts Screen. Login to the Administrative side of your database, go to Accounts, and use the Search tools to find the Learner's Account. Click on the LMS button. A modal will appear that will allow you to see LMS data for that Account.


The modal will have tabs for Courses, Tracks, and Paths. Click on the (for example) "Add a Course" button from the Courses tab to add a Course to the Account.


Use the Search tool, and click the "Add" button.


Note: If the Learner does not already have an Account, and if you would like to directly enroll them, then you can firstly create an Account for them via the "Create New Account" button.

Direct-Enrollment via the Course Manage Accounts Screen

You can directly enroll Learners into Courses via the Admin Accounts Screen. Login to the Administrative side of your database, go to Accounts, and use the Search tools to find the Learner's Account. Click on the LMS button. Unlike with directly enrolling via the Admin Accounts screen, your Admin Account first needs Review User permissions for the Course.  Also unlike the Admin Accounts enrollment, you can only enroll Learners into Courses -- you cannot enroll Learners into Tracks or Paths via this method. 

Assigning a Course Review User or Group

Administrators who have been assigned to a Course as the Course Review User can add and remove Learners from Courses directly from the Admin. Groups of Users, or individual Users, can be assigned to a Course as Reviewers.

To assign an individual User, log into the Administrative Console and navigate to Courses. Click to Edit a Course.


You will see the Edit Course screen. In the Assignment section, choose "Course Review Users", drag the User who will manage this Course's Learners to the Assigned column, and ensure that they are set to "Apply".


Alternately, if there is a User Group whose members should be Course Review Users, choose "Course Review User Groups", drag the User Group whose members will manage this Course's Learners to the Assigned column, and ensure that they are set to "Apply".


 


Enrolling Learners from the Course List Page

Navigate to the Course list page, and click on the Manage Accounts button.


You will see a list of all Learners enrolled in the Course. Click the Garbage Can Icon to remove them.


Add Learners to the Course by using the searchbox. 


Once you select one you can click the green plus button to add the course to their account. If you check the Notify User box it will send the account the “Course Added By Upload” email message in the database to the account holder.


The filter Term Start Range and End Range will let you sort by term date (if a course goes for years and years they can search for only the ones enrolled currently – note that Term Date is either the date enrolled or the course start date).
