Introduction:

The Product's Calendar tab is where you create recurring schedules and assign staff to your events. 


Example: You have an event that occurs Mon, Wed & Fri for a month. You would create a schedule and assign your staff or volunteers to the event on the calendar.
How To: Find the event you want to work on and select the calendar tab.

Click Create.

In the Manage Schedule screen, choose the type of schedule. In this example we have chosen  M,W,F. If you need to create custom schedule choices for this list, see Schedules

Click Save.

Schedule Type Title

When you create a calendar schedule on a product, we store the schedule you used to create it (for example, the seeded types of Wednesdays or Weekdays, or the custom schedules you create)
 
There is a configuration to show this title on the Order Summary in your shopping cart (once added to cart), in order history, and in the Order Summary Price confirmation operators. You can also customize the Schedule Type Title term with a configuration.

By enabling this configuration you can add the operator to emails that resolve down to a single product (like product reminders, triggered product purchased, order participant confirmations, etc.)
 
There are theme controls to show this on the product list (search) and on the product details page for the different event product types (variation or standalone)
Only Event Type products use this title.

Session Count/Session Hours

When you create a calendar schedule on an event, we are now counting the number of calendar days that the schedule created. We also calculate the number of session hours. These are displayed on the Calendar tab above the calendar.

You may override the Session Count or Session Hours on the Advanced tab of the product. Please note that once you overwrite theses calculated amounts, further changes to the calendar DO NOT re-calculate the session count or session hours.

Assigning Staff


You can assign staff to all calendar events by clicking the Assign Staff button on the main calendar.

Alternatively, you can assign staff for an individual day by clicking the day you want to staff.

The Assign Staff pop-up appears.  Using the Search box, type any part of the staff member's name if you have someone in mind, or type a space to show all available staff; then click Search.

Once you find your available staff member, click the assign link to choose them for this day. You can email the staff member directly from this screen.
 
 
Note: The first staff member assigned to a product will automatically be listed as the primary staff member for that product.

The Staff Details pop-up allows you to
  • Adjust the staff wage
  • Make sure all checklist items are complete
  • View any schedule conflicts
  • Assign to all following days
You have now successfully assigned staff to your event.
If you need to extend your camp or event to another day, choose the Add Day button.

Rescheduling a Session

In the event you need to change the date/time of a previously scheduled day you can do so by selecting the day you want to reschedule and click the Reschedule button

From there you can choose the new date and time that you want to reschedule to.

Clicking Save will finalize the rescheduled day.
 

Calendar Schedule Notes: 

 
If you make a change to the product after you have created a schedule, for example if you change the event name or location.  You must recreate you calendar schedule to reflect those changes.
