Overview

Configio offers a robust Media Management System. You can build Media Templates, and the System uses these Templates to generate Media Items. There are many types of Media, and the different types have wide variety of uses. Some, like Product Participant Certificates and Course Certificates, are delivered to Users after they do things like participating in Events and passing Courses. Others, like Product Media, are generated by Admins on the fly to create things like product brochures and name badges. 

Note: The Media Manager overlays text on a background image, creates a file, and converts that file to PDF for distribution. Your business may also have other media needs (for example, editing images and/or layering images) which may require other tools using other technologies (for example, Adobe Photoshop and/or Adobe Illustrator).

Note: The Media Management System is not available on all Plans. Please contact your Account Executive if you are interested in it, but it is not currently available on your Plan.

Getting Started

There are no System Configurations related to the Media Manager.

Creating a Media Template

Login to the Administrative side of your Database, and navigate to Settings --> Management --> Media Manager.

This takes you to the Media Manager Page. Click on the "Add New Media" button to create your first Media Template.

The New Media page is shown. Input the Media Template's Title, Type (explained below), Style (also explained below), and a Background Image (optional).

Types of Media Templates

The following types are available:

  • Course Certificate: can be assigned to any Course to mark the Learner's achievement of having completed a Course, or to mark their achievement of having their Course graded.
  • Product Account Certificate: can be assigned to any Product to indicate that they have purchased the Product.
  • Product Account Certificate with Approval: can be assigned to any Product to indicate that they have purchased the Product and been Approved by an Admin.
  • Product Participant Certificate: can be assigned to any Participant based Product to indicate that they have (or have intended to) participated in an Event.
  • Product Participant Certificate with Approval: can be assigned to any Participant based Product to indicate that they have (or have intended to) participated in an Event and have been Approved by an Admin.
  • Learner Track Certificate: can be assigned to any Track to mark the Learner's achievement of having completed a Learner Track.
  • Learner Path Certificate: can be assigned to any Track to mark the Learner's achievement of having completed a Learner Path.
  • Product Media: can be generated for multiple Products, and includes a Multiple Product Grid feature.
  • Mapped Media: can include data imported from an outside source, to allow you to use the tool with data that is store elsewhere.
  • Organization Media: can include data stored in the CRM section of your database.
  • Account Certificate with Approval: can be assigned to any Account via Admin Approval.
  • Participant Certificate with Approval: can be assigned to any Participant via Admin Approval.

Once you have inputted your Title and made your selections, click the SAVE button to begin editing your Media Template.

Background Images - Sizing your Image for your Template

We suggest using the following guide to re-size your images so that they look the best in your Template (sizes based upon 8.5x11" sheet of paper):

Note on background images: when using templates with multiple labels per page, the background image covers the entire page and not an image per label. We recommend not using background images when printing badges or other multi-certificate per page templates.

Editing Your Media Template

After saving your first Media Template, you can begin defining each data row. Data rows can contain both plain text and text from Operators. These Operator fields pull data specific to the person who will receive the Media Item, such as their name; the title of the product or course that they purchased; and the event date. To add an Operator, click into the text field in the row, and select the Operator that you want to use. Configio has scores of Operators to use, so the possibilities are virtually endless.

Editing Your Media Template - The Previewer

There is a Product Search tool that allows you to give sample data for Operators to be viewed in the Previewer. Product Operators will pull data from the selected Product; Account and Participant Operators will pull data from the Roster of the selected Product.

Note: The Previewer will display information for up to five (5) Products.

User Access to the Media Items

Once a User has achieved a Media Item, they can access it via the Account Dashboard. The Dashboard is found by logging into to the Shopping Cart and navigate to Accounts --> My Account. There is a Certificates section, They can click the PRINT button on a Certificate to Save or to Print the Media Item. They will continue to have access to it every time the go to their Dashboard, and the system generated file name will not change.

Admin Access to Media Items

Admins can access Media Items via the Edit Product screen, via the Advanced Search screen, or via the CRM. Please see the linked articles for detailed information.
