Managing Credit Card and Payment Processing Fees

Overview

There are three different ways to create credit card or payment processing fees in Configio. This can be done by creating a Fee, a Payment Fee, or through Payment Gateways.

Each method comes with its own benefits:

  • Fees: allows you to create Requirements for the processing fee. Processing fees created through Fees can be assigned at the Product, Category, or Region level, affecting all Products under their assigned section. If processing fees are created through Fees, then only Products with the assigned fee will receive the Fee.
  • Payment Fees: are applied to every transaction in Configio. The only time they will not apply to every transaction is if Requirements are added to the Payment Fee. Payment Fees cannot be restricted by Product, Category, or Region.
  • Payment Gateways: processing fees created in Payment Gateways will apply to every transaction that is linked to the selected Payment Gateway. There are no Requirements available for Payment Gateway fees. Payment Gateway Fees cannot be restricted by Product, Category, or Region. Payment Gateway fees are recommended for clients that wish to have credit card processing fees for all credit card transactions.

Fees

Creating a Processing Fee in Configio is the same as creating any other Fee, such as Late Fees, Out of Area Fees, and Form Question Fees.

Navigate to Settings > Assignments > Fees, then select + Fee.

Here, you will be presented with the Edit Fee page where you will enter the Fee details. Here, you will see a completed Fee for a 5% Processing Fee:

Title - Create a friendly title for the fee (it will be seen by your customers)

Amount - Enter the amount you plan to charge

Start Date -the earliest date the Fee will be available to charge

End Date - the latest date the Fee will be available to charge

Infinite - when selected, the Fee will never run out of "usages" (if left unselected, an amount must be entered into the Quantity field, once this Amount runs out, the Fee will not be charged)

Percent - when selected, the number entered in the Amount field will be changed to a percentage (Example: if 5 is entered in the Amount field but Percent is unchecked, it will charge $5. If Percent is checked, it will be 5%)

Instant - when selected, the Fee will appear in the Customer Cart as soon as a Product is added to Cart

Limit Qty/Order - to only charge the processing fee once per transaction, select this box and enter 1 into the field

Important! After the Fee is created, it must be assigned to the Product, Category, or Region level before taking effect.

Payment Fees

A Payment Fee in Configio is a fee assessed on every payment made within your database. Because it is automatically assessed on all payments, there is no need to assign Payment Fees to Products, Categories, or Regions.

Example: You plan to charge your customers 3% and $0.50 per payment made in the system to cover your Credit Card Processing fees. You will accomplish this by creating two Payment Fees.

How To: Start at Settings > Management > Payment Fees. Click Add New.

This opens the New Payment Fees page shown below:

Title - Create a friendly title for the fee (it will be seen by your customers)
Amount - Enter the amount you plan to charge, then check the Is % box if charging a percentage of the total.  
Payment Gateway - Select the Payment Gateway you want the Payment Fee processed through
Percent - Changes the Amount field to a percentage 
Pass Any Requirement - You can create Requirements that trigger the Payment Fee, Pass Any Requirement applies the Payment Fee if any single requirement is met. It is recommended that this is left checked.
Active - As with many other features in Configio, you can quickly make a Fee Inactive by selecting the Active slider and saving.

A completed 5% Payment Fee looks like this:

Selecting Save returns you to the Payment Fees list where you can select the Cog Wheel icon to Add/Edit Requirements. There are three types of Requirements available:
Payment Gateway - Will add the Payment Fee if any Product in the order is set to use the Payment Gateway indicated
Form Questions -  Applies the Payment Fee when the selected Form response is chosen from the indicated Order Form.  This does require you to create a new form type titled Order form. This feature cannot be used with any other form type.

Colorado Delivery Fee - this is a required Fee for all items that are delivered by vehicle in Colorado.

 To add additional fees, repeat the process – there is no limit to the number of Payment Fees you can create.

Payment Gateways

Creating a Payment Gateway Fee is done through the same process of creating a Payment Gateway.

Navigate to Settings > Setup > Payment Gateways, then select the edit pencil next to the desired Payment Gateway.

Here, you will be presented with the Edit Gateway page where you can edit the Payment Gateway. Here, you will see a completed Payment Gateway with a 5% Processing Fee:

In the Edit Gateway screen, the only section that needs edited to add a payment fee is the Processing Fee box. once selected, the Fee Amount and Fee Is Percent fields will appear.

Amount - Enter the amount you plan to charge per transaction

Percent - when selected, the number entered in the Amount field will be changed to a percentage (Example: if 5 is entered in the Amount field but Percent is unchecked, it will charge $5. If Percent is checked, it will be 5%)

This change is immediate and does not need to be saved to be committed.
