The Customer's Experience in GDPR Mode

Introduction

This article will describe the customer's experience when your database is in GDPR Mode. It covers: opting-in, requesting personal data, requesting data to be forgotten, and the Email Communications Settings page.

The Opt-In Experience for New Users

When new users are creating an account or a participant, they will be required to opt-in.

The Account Creation Experience

Users will see the "Save My Personal Information" checkbox on the New Account screen. If they select the "Create Account" button without checking it, they will be shown an error message, and they will not be able to proceed.

The Participant Creation Experience

The user will see a "Save My Personal Information" checkbox on any screen where they are creating a participant. If they select the "New Participant" button without checking it, they will be shown an error message, and they will not be able to proceed.

The Pending Participants Experience

If a user tries to create and use a participant whose age is below the “Participant minimum age pending state” configuration, they will see the “Participant Pending” message, and they will not be able to place the item into their cart. The message will contain your email address and phone number. These are from the configurations titled “Print Email” and the “Print Phone.”

The Opt-In Experience for Existing Users

Existing users will need to opt-in their accounts and their participants.

The Opt-In Account Experience

After logging in, existing users will be sent to the Account Settings page. There, they will be prompted to opt-in. They will not be able to use their account until they select the “Save My Personal Information” checkbox and click the "Save" button.

The Participant Opt-In Experience

The user will see a "Save My Personal Information" checkbox on any screen where they are registering or editing a participant. If they try to use the participant without opting-in, they will see an error message.

Now, they will not receive those types of communications. They can also return to this page to opt-back in.

The Request Information Experience

When editing an account or a participant, the user will see a "Request Personal Information" button. If they select it, either the "Account My Information Request" or the "Participant My Information Request" email message will be sent to your GDPR Managers.

Responding to the Request

Opting-Out of Receiving Marketing Emails and Text Messages

Your users can opt-out of receiving text messages and marketing emails by visiting the Account Communication Settings page. There is a link to it on the Account Settings page.

To opt-out of marketing emails, they can uncheck the box and click the Save button. To opt-out of text messages, they can change the Mobile Carrier to "Do not send text messages" and click the Save button .

Now, they will not receive these types of communications. They can return to this page to opt-back in.

The "Forget Me" Experience

When editing accounts or participants, your customers can uncheck the "Save My Personal Information" box, enter their name, and click the "Request Personal Information To Be Forgotten" button.

They will then see a confirmation screen. Clicking the "Request Personal Information To Be Forgotten" button again will submit the request. Your GDPR Managers will be sent either the "Account Forget My Information Request" or the "Participant Forget My Information Request" email message.

Completely Forgetting an Account and Each Participant

To allow for granularity in these requests, forgetting an account does not forget each participant on the account. It only forgets the participant that is the account holder. To forget all personal information, the account and each participant must be forgotten.
